About this policy
This policy covers the Civic Enforce mobile app, municipal web workspace and public website. Civic Enforce helps authorized municipal staff prepare and manage parking enforcement records. Questions about a particular ticket, fine, payment or dispute should go to the issuing municipality.
Information we handle
- Staff accounts and access: names, email addresses, account identifiers, municipal memberships and permissions.
- Ticket records: vehicle and plate details, offences, locations, notes, issue details, recorded payment or void outcomes and activity history. Records can include information about people who do not have an app account.
- Optional evidence: photographs you choose to take or attach and GPS coordinates recorded with a ticket.
- Enquiries and support: your name, email address, municipality and the message you provide.
- Service and security information: sign-in and administrative events, basic request information and abuse-prevention data. Infrastructure providers receive technical information such as IP addresses when serving requests.
How we use information
We use information to provide and secure Civic Enforce: authenticate staff, manage municipal access, prepare and issue tickets, keep evidence and history, produce PDFs and printing output, provide municipal reporting, and respond to enquiries and support requests.
We do not sell data or reuse it for unrelated purposes. Municipal reporting is part of the service, rather than a separate use of municipal records.
Civic Enforce records external payment outcomes. It does not process payments or collect card details for paying tickets.
Device permissions and saved work
Photos and location are optional when preparing a ticket. You can decline camera, photo or location permission and continue with manual entry. Automatic GPS capture is a foreground location fix for a new ticket form, rather than background tracking.
Saved work and sign-in credentials are stored on the device. Signing out removes the local sign-in credential but retains saved work for its original account and workspace. A saved draft is not an issued ticket; the server confirms issuance. If work is locked, keep the app installed and contact your Municipal Administrator or support before clearing app storage.
Access, service providers and sharing
Access within the application follows municipal membership and staff permissions. Service operators and providers may need to process information to run, maintain and secure the service. We also respond to applicable legal requirements.
- DigitalOcean: hosting infrastructure and the selected server-backup service.
- Resend: delivery of demo enquiries and account messages when the relevant mail service is enabled.
- OpenFreeMap: map requests from the web workspace, including the map areas being viewed. The map provider does not need your Civic Enforce password or session token.
- Microsoft: work or school sign-in when explicitly enabled for a municipality. Microsoft processes the sign-in interaction; Civic Enforce still checks its own account and municipal access.
- Your selected printer: receives the ticket document you explicitly choose to print.
Provider access, storage location and municipal record-handling requirements must be reviewed for each municipal deployment. Contact us for information about the setup relevant to your municipality. This policy does not designate every provider or deployment as being in one country.

Retention and deletion
There is no fixed automatic deletion period for issued ticket records or their audit history in the current service. Municipal record retention, legal holds and requests affecting issued records must be handled with the issuing municipality. Removing a staff member's access does not remove their historical issued records.
Account, security and correspondence information is retained to operate the service, handle requests and meet applicable obligations. Contact us to discuss the retention criteria and records relevant to your request. Deleting or changing live data does not immediately remove older backup copies; backups follow their own retention cycle.
Your choices and requests
You can manage camera, photo and location permissions in your device settings. Contact your Municipal Administrator for access changes or account closure. To request access, correction, deletion or help withdrawing optional permissions, contact matthew@civicenforce.com. Tell us the municipality and the type of request; leave out passwords and unnecessary ticket or photograph details.
We will assess the request with the relevant municipality where needed, including identity, retention and legal obligations. Account closure or a deletion request does not automatically erase immutable ticket history or records that must be retained.
Changes and contact
We will update this page when the service's data practices change. The date above identifies the latest revision. For privacy questions, contact Matthew Quigley at matthew@civicenforce.com. For app help, visit Support.
